Let's get to the updates:

 

What's New? This update includes many things, but a few stand out.

1. Namibia passes beta phase! Thank you to each participant who gave feedback and helped us get it through! We are so excited to partner with Namibian Accountants and see what the future will hold together!

2. New Reports: Amazing new reports to ensure you get a better overview of the system.

3. Updates to our Microsoft email service & the introduction of a correction log.

4. Sage & Xero Integration upgrades and improvements

Introducing!

 

  • Microsoft email expansion & correction log


We want to reiterate: The Microsoft email integration has been upgraded to prevent integrations from expiring and to provide a sleeker experience. If an email is unsuccessful, you can see a detailed log of how to correct it in the Correction Log Table, which is now in your left navigation. PLEASE REINTEGRATE YOUR MICROSOFT BY FOLLOWING THESE STEPS.

  • Sage & Xero


We have successfully rewritten our Sage and Xero integrations and made numerous improvements along the way. New integrations will not fail if there are duplicate clients, and updating existing clients is efficient and quick! You can connect multiple companies from both apps to your databases. Contact support@mydatagrows.com if you need any assistance in this kind of structuring.

 

  • The Namibian version DataGrows:


Namibia has officially launched! If you have a colleague in Namibia who could use DataGrows, please ask them to email support@mydatagrows.com. We are also excited to announce that the Sage, Xero and Microsoft integrations are available for Namibia. Reach out if you need any help setting up!

 

  • Expansion on time log:


The time log table now also automatically includes the task period when you use the play button, making time authorisation a breeze! Remember to use those filters 😊

 

We also introduced a faster way to log manual time: (we still prefer you use the timer – but if you insist, here is how you can manually add time)

  • Click on Add Record in the Time Log table, and you will see that the input form has changed. Select the client and task.

  • If you don’t want to record your start and end times, you can now edit the duration field.

  • Please select Duration instead of Timestamp in the Method field.

  • You can edit the date in the start field, but the start time doesn’t need to be changed. Simply type in the hours spent (hh:mm) and save. DataGrows will work out the rest! Time rounding will still apply according to your Firm Settings.

  • Click Save & Edit

  • Next, link the time log record back to the specific task by checking the checkbox below.

  • Click Save.

If a time log record is not linked to a specific task it will show as "Not Linked To Task" in the Status field. If you are using our billing component you need to link it to a task in order for the billing to reflect correctly.

  • Subtasks embedded in main tasks now log time!


You can now time on any subtask, by clicking on the timer icon.

This will automatically pull through the subtask to your Time log table. Any notes made on the main task and subtask will display in a neatly formatted way, so you don’t lose track.


  • Download Rights: You can now set user permissions per table to enable or disable downloading of a table. If you go to User Roles - User Rights for standard roles or Accountant - Accountant Rights for custom roles, you will see a "Downloadable" checkbox. If checked, that user will have the ability to download a table. If unchecked, they will not be able to download a table.

 

Other Additions:


  • We have added additional columns to the Share register, as requested by CIPC: Email, Cell nr and ID/Reg Nr of the shareholder. Additionally, the CIPC Beneficial Ownership Securities Register report now contains the Email, Cell nr and ID nr of the shareholder.

  • Added a new SARS Task: “De-register: Provisional Tax” has been added as a task in the SARS Tasks table.

  • We have added the following Payroll due date options (perfect for those lastminute.com clients)

    • 1st of the following month

    • 5th of the following month

    • 7th of the following month


Fixes:


  • The place of issue section on the Share Certificate has been widened to ensure locations do not get cut off. It won’t fit Tweebuffelsmeteenskootmorsdoodgeskietfontein, but it will fit Bovenendvankeelafsnysleegte 😉😁

  • The securities register will fit on an A4 again

  • You can now chat against a Trust Tax return task.

  • Birthday emails will now be sent if either an Accountant OR a Partner is assigned to the client.

  • We added placeholders to the Firm Newsletter email. It’s perfect for announcing year-end closures. P.S. DataGrows will be available for help throughout December. Please don’t hesitate to contact us.

  • Workflow templates are easier to create; we encourage you to use this feature for complex clients! Read more here: Custom Automated Workflows

  • CIPC Extension will update brand new companies and any without an annual returns history. Make sure to update your clients and keep them compliant!

  • Close Corporation Members will now be updated from the extension integration table to the members table. If this is all foreign to you, please read more here: CIPC Enterprise Details

Reports: 3 really NB reports have been launched under Firm Reports


Before we get to them, these things have been added to other reports:

  • A Profit/(Loss) column has been added to the Accountant Hours report.

  • A client filter has been added to the Revenue & Profit report.

  • We have introduced three new reports under Firm Reports:


Here is a list of the three new reports:

1. Setup Assistant


This report shows all areas in your database that have not been set up or are not in use. Green is active, while pink is not utilised. Anything in grey is not included in your plan. We are really passionate about what DataGrows can do for your firm, and we want to see your report Green! Please reach out to Support (or Geoff) if you’re curious about any pink items!

And, brand new in our reports - Click on the pink or green dot to jump to that feature!

2. Service Activity Dashboard.


This report will show the activity on tasks, as well as the total time logged on those tasks. Click on the table headings (eg Accounting) to jump straight to the task and see what’s happening!

3. Client Roles overview


This report shows you the client, services, and team member responsible for each service. We have included the entity type, year-end, and rate group so you can easily see critical info and staff involved. Expand on each client to see more exciting details!

Mobile App Improvements


You can now sort on columns in the mobile app. Sort by client, date, task etc.

Client Excel Template


Our Client Excel template has also undergone a revamp. If you add your clients in bulk, please download a new template via the Data Upload table. We have rearranged the columns to emphasise the most important ones first.


NB: Adding a registration number to the Excel, as long as the existing client in DataGrows doesn’t yet have one, will no longer cause duplicates.
