How To: Change User Roles

This post will explain how to change a user role.


The Accounting CRM currently offers three main roles and a custom role:

  1. Admin: Admin users will be able to see all tasks. They can also add or delete clients and add other users or remove access rights from users.

  2. Partner: Partner users will be able to see all tasks. They can add clients but not delete them. Partner roles cannot add or remove users.

  3. Bookkeeper: These users will only have access to clients and tasks assigned to them, and they cannot add and delete clients or users.

  4. Custom: Custom roles will have access to the All Tasks Due table, Client table, Time Log table, and the Adhoc Tasks group. They can then be granted access to any group shown in the left navigation. These groups are:

  • Accounting

  • CIPC

  • Financials & Tax

  • Payroll

  • Tax

  • Assistant

There is a checkbox labeled Assistant. If someone is marked as a custom role and the assistant checkbox is ticked, they will only have access to the All Tasks Due table, Client table, Time Log table, and the Adhoc Tasks group.


To Change a user role:

  • Go to the Accountant table in the Setup group in the left-hand navigation.


  • Next, select the user whose role you want to change.

  • Tick the applicable checkboxes. Please note a user can only have one role, so only tick one checkbox under the Role Section.

  • Save

Custom Roles

Once you have assigned a Custom Role to a user and you have unticked all other checkboxes in the Role section. Please select the groups that you want to give the user access to. The groups and the tables contained in them can be found in the left navigation in the app.


Once you have ticked the applicable groups, you will see a checkbox for 'filter on own'.


When ticked, this will filter the custom user's data so they will only have access to their own tasks within the groups. If unchecked, this user will see all tasks for their assigned groups.
